We have 4 rooms available for hire:
Main Hall: 400 capacity sports hall and large 200 seated functions
Function Room: 150 capacity multi used space for fitness classes, smaller gatherings, meetings, and parties)
Loft Suite: 50 Capacity separate entranced space for small functions, Meetings, workshops rehearsal
Meeting room 1: seated capacity 40 fantastic rehearsal space
Meeting Room 2 same as MR1 40 Capacity
For self entry hires you will receive the full terms and conditions on booking. It is essential you familiarise yourself and your attendees with all relevant information.
FAQs
We ask that all our hirees have the relevant training and insurance to carry out their booking safely and lawfully. You may be asked to provide proof of these at booking. We ask that all hirees carry out a risk assessment for the purpose of their hiring (we can supply you with a risk assessment template, or you may use your own if you prefer). You may be asked to provide a copy of your risk assessment by the Centre.
Please be mindful of the time of your booking, the conditions outside of the building and any specific needs individuals may have during your hire.
If there are any reasonable adjustments, we can take at the Centre to make your booking safer, please let us know in advance.
Our staff have training in First Aid; however, you are responsible for having the level of First Aid training that is appropriate for the purpose and duration of your hire period..
Every room has a plan of the building and where the fire exits are in relation to that specific room on the door or walls of the room. Please familiarise yourself and your party with where they are. Please do not remove these signs. If they are not present, please report this to a member of staff as soon as possible.
You must not block any fire exits or place any items in the way of preventing the safe access of the fire exits at any time.
If you hear the fire alarm and haven’t been warned of any testing before your session, treat all alarms as real. Leave the building by your nearest exit and congregate at the meeting point, at the top of the slope by the road in front of the building. Do not take any possessions with you. Call 999 and ask for the Fire service. Do not re-enter the building until it has been confirmed safe by a member of the Fire Service. You are responsible for taking a register of the members of your group and ensuring they are accounted for.
There is free Wi-Fi throughout the Centre. There are posters on the notice boards with the up to date QR codes to access the Wi-Fi and codes to enter manually too.
The Main Hall and Function Room have their own bars, which can be hired for licensed use or private use for sales of non-alcoholic refreshments. Our licensing agreement means that alcohol sales are only permitted by Centre staff and/or volunteers. Hirers are NOT permitted sell alcohol on Centre premises.
The Licensee is M J Nickson. The Premises License Number is: OONU-PRM-01477.
The Centre has PPL/PRS licensing for music / performance. However, this does not cover individuals or organisations who hire spaces commercially for events where music or video will be reproduced. They will require their own PPL license to cover the event.
We ask that our hirers are courteous to other Centre users and adjust the volume of their music accordingly.
There are public use computers available in reception. See laminated instructions and use policy attached to the desk next to them. Adults are responsible for supervising any under 12 year olds using the computers.
Printing facilities are not available currently. Please ask a member of staff for assistance if you require, we’re happy to help you.
Every room has a First Aid box. Please familiarise yourself with where it is. If you use the First Aid Box in your room, please return it to where you found it and enter any Accidents in the Accident Book which can be found in the first aid box under the desk in reception. Completed Accident forms should be posted into the external letter box or under the office door.
All Staff and several Trustees are certified First Aiders.
In the case of serious emergencies, call 999 and ask for the Ambulance service. The address is the Princess Gwenllian Centre, Hillfield Villas, Kidwelly, Carmarthenshire. SA17 4UL.
There is a defibrillator available at the front of the building on the exterior wall by the front door. The call handler will give you the code for the box if they deem it necessary.
All cleaning supplies and Wet Floor warning signs are kept locked in the Cleaning Cupboard. The key for the cleaning cupboard is hanging from a hook in a bunch above the office door.
Please clean up any mess after your session so the room is suitable for the next hire. Please return any cleaning products and equipment to where you found them in the cleaning cupboard and ensure the door is locked and the keys returned to the hook.
All lights for the hall and reception area are on the panel on the wall by the reception desk. Please make sure the toilets and entrance hall lights are on and the exterior lights are on if its dark. Please make sure they are all turned off when you leave.
The carpark lights are on a timer and don’t require any action from hirees.
The external door keys are kept in key safes by the external doors. There is a separate key to the front door and the Loft Suite entrance. You will be given the key code when your booking is confirmed. Please do not share this key code with anyone else.
Please ensure the keys are returned to the key safe and the numbers on the code scrolls are not in openable order when you leave. You are responsible for ensuring the door is locked after your hire time.
Toilets are cleaned and checked regularly. There are surplus hand towels and toilet roll available in the cleaning cupboard.
All female toilets and disabled toilets have free sanitary protection available supplied to the centre by the County Council in line with Sirgar’s Period Dignity scheme. If you require more or the supplies are low, please inform a member of staff and we will be happy to help. Please use the sanitary bins provided. We also have boxes of sanitary protection available for free in the centre office, just ask if you’d like a pack or two – we’re happy to help.
There are baby changing facilities in the Disabled toilets both upstairs and in the reception. Please take used nappies home with you.
Please let the Centre staff know if there are any issues with the toilet facilities.
There is a female changing room with showers and toilet in the corridor at the back of the sports hall.
There is a disabled access changing room with toilet and shower facilities in the right-hand corridor behind the Main Hall (through the double doors).
The male changing room with toilet and shower facilities is accessed by the single door in the right-hand corridor at the back of the Main Hall. Go through the right-hand double doors into the corridor, take the single door just to the left and it is the first door on your right. The changing rooms are through the door straight ahead and the toilet is in the left-hand door.
Please ensure you take your belongings home with you.
If you require tables and chairs for your booking, please let us know when you make your booking. A member of staff can put the tables into the room for you or let you know where they have been stored.
Please return the space to how you found it and any tables and chairs to where you got them from.
The kitchen can be hired at a cost of £25/session. This is to cover costs of cleaning, equipment maintenance and energy usage.
When using the kitchen, please make sure it is left as you find it.
There are bins for food waste and recyclable waste. All other rubbish must be removed at the end of hire and disposed of at your own convenience.
The oven and hobs switch are on the wall. When using them you will need to turn on the switch with the light on the wall to the right of the cooker, switch the red switch to ‘ON’ and turn on the extractor fans (the switch marked with numbers). Please ensure they are all turned off after use.
Pay attention to which hob you are using and the oven knobs. They are slightly different to domestic ovens.
There is a Hydro boil in the corner by the cooker and a kettle if you need to access boiling water. Please use the insulated flasks provided to move and keep boiling water safe in rooms. Cups and saucers, crockery and cutlery are stored on the stainless steel shelves under the work surfaces.
Please ensure the surfaces are clean after use.
Please use the appropriate colour coded chopping boards when preparing food.
Please fill in the temperature recording sheets and use the sheets in the food hygiene folder when making food for sale or consumption on the premises. This folder can be found on the ambient storage shelves in the kitchen.
Any foods stored in the fridge, freezer or the shelves must be clearly labelled (provided on the ambient shelves) and stored as per food hygiene protocols. Any unlabelled food or foods left will be disposed of without exception.
When using the Main Hall, please make yourself familiar with where the emergency exits are and where the First Aid Box is stored. The Refreshments Bar can be hired at an additional cost of £25/session (including use of Cups, saucers, glasses, and cutlery) with a hot water boiler, which must be filled and emptied manually using cold water from the kitchen.
If you wish to use the refreshments bar for alcohol sales, you must pay for our trained staff to run it at a cost of £12/hour per staff member. If you supply your own alcohol, you can take the profits of the hire, if we supply the alcohol, we will take all the profits of the sales. The £25/session covers extra cleaning hours and energy usage incurred by using the bar and covers breakage and equipment maintenance.
Any storing of equipment must be arranged in advance. Any equipment stored without permission will be invoiced at £28/m²/week, payable from the first day of storage. When using stored equipment or tables and chairs, please ensure they are returned neatly to where they were stored. Repost any damage, breakages or issues to the Centre staff, Facilitator or Caretaker.
Lights for the Main Hall are found on the switch panel marked row 1 -4. Please ensure they are turned off after use and all exterior doors of the hall are secure.
Please familiarise yourself and your party with the emergency exits and where the First Aid Box is kept.
There is a lift situated in the the function room for access to the loft suite. You must always make this available to users of the loft suite. The bar is available for hire at a cost of £25/session. This must be arranged in advance. This covers the cost of extra cleaning, breakages, and extra energy usage for the water boiler. You must hire members of PGC staff to use this bar at a cost of £12/hour/person. This is due to being a licensed bar and where our alcohol stock is stored. This ensures our compliance with licensing laws.
The lights of the function room are on the inside of the double doors to the storage area off the room. Please ensure all lights are turned off after hire and the external door is firmly closed.
There is an accessible lift to the Loft suite in this room and you must ensure that its is not blocked at any time and that people with mobility issues in the loft can use this at anytime. This is a condition of your booking.
The loft Suite is accessible from the carpark through its own lockable door and through the stairs from the centre. The key for which is kept in a key safe directly next to it. The internal door to the centre must be always left unlocked.
There is an accessible toilet with Baby changing facilities attached to the room (please take used nappies home with you).
The heating in this room is provided by electric radiators which require switching on at the socket. Let us know at booking if you would like us to do this in advance for you.
There is an accessible lift in this room. The lift can be accessed from the function room. The lift can be turned on using the key on the hook on the frame of the lift base. Simply pop the key in and turn to the on position. Use the button to call the lift.
When in the Lift, please ensure that the sides and white ending on the floor are clear. The lift will not operate and will stop if it is not clear as a safety feature. The door will open automatically when it is in the correct position. To operate the lift, you must always keep your hand on the button in the direction of travel. The lift will stop if you don’t.
There is an emergency access key to the lift with the key that activates the lift. Please ensure the lift is turned off when your booking has finished.
Any issues with the lift, please call a member of staff or the caretaker. If you cannot contact anyone and are stuck in the lift, call 999 and ask for the fire brigade to attend.
The reception area is generally staffed between 09:30 am and 14:30pm on weekdays only. We encourage individuals and small groups with community purpose to use this space when the centre is staffed free of charge unless the building has been hired in it’s entirety.
We run regular Drop-In sessions from this area for the community to help combat social isolation, increase personal confidence and skills. These are open to the entire community and are inclusive, safe, and welcoming spaces. Free (or by donation) tea and coffees are always available.
These sessions are managed by Centre Staff and Volunteers.
Please contact the centre if you would like to organise a community group from this area.
There is CCTV in all the areas where people congregate. This is to maintain compliance with licensing laws. Audio recordings are not taken.
We will surrender any video requested to Police and Emergency services on request.
